Description of Service

This service provides faculty and staff with support if they have been sick or injured (unrelated to their work) to help them back to their optimal level of health and wellness, and to enable their productivity in the work place. It provides People Leaders with support to help them understand their role when supporting an employee. It encompasses preventative activities, early intervention, and supports for when employees are unable to work or require accommodation to stay at work. This service is delivered in partnership with the health provider network and supplements the services they receive from their health care providers.

This service includes:

  • Facilitating the process for disability benefits in the short and long term periods.
  • Facilitating the proactive provision of medical accommodation for employees including assistance with absence management and stay-at-work supports for sick or injured employees.
  • Implementing gradual return to work plans and accommodations.
  • Providing proactive supports and resources for employees who are dealing with illness or injury.
  • Supporting People Leaders who have sick or injured employees.

This service also provides stewardship and oversight for the disability management benefits plan, as well as to external service providers that are part of delivering this service.


Access

Employees who are sick or injured should start with their People Leader.

For disability management support related to their employees, People Leaders should contact their HR Strategic Business Advisor. People Leaders can find their HR Strategic Business Advisors in the knowledge base (login required).


Availability of Support

Core Hours: 8:30 am–4:30 pm Monday to Friday
After Hours: N/A


Service Standards

  • Short-term Disability – The assigned case manager will contact the individual within 24 hours to conduct initial assessment and adjudicates the claim within 48 hours of receiving all of the necessary information.
  • Long term Disability - If the individual, the individual’s medical provider(s), and the Short-term Disability (STD) case manager anticipate the medical absence will exceed the defined STD period, the case manager will provide the LTD forms 4-6 weeks prior to the LTD date to begin the process with Sun Life.

Service Exclusions, Limitations, and Restrictions

  • This service is only for non-occupational illness or injury. It does not include workplace-related injuries.
  • Short-term disability and long-term disability coverage and eligibility differ for the various employment groups and are outlined in the university’s employment agreements.
  • Eligible CUPE 1975 employees are covered by sick leave and/ or short-term disability for the first 112 days.
  • Non-CUPE employees (ASPA, Exempt, Senior Admin, Faculty, and eligible Research). These groups are covered by salary continuance, which covers their absence for the first 90 days. If unsure Managers should contact their HR Strategic Business Advisor (SBA) or the Data Processing team at ConnectionPoint.
    • NOTE: It is recommended that ASPA & Exempt employees who are absent during their 90 day salary continuance period (and in receipt of full pay) record their sick time in PAWS.

Service Charges

  • There are no service charges related to disability management services as fees are built into plan premiums.
